JOB SUMMARY
To coordinate projects for the Professional Learning Department, thereby enhancing the ability of the department to provide quality services in an efficient, timely and professional manner. Provides complex project management. Provides customer service and technical support for the professional learning software systems.
ESSENTIAL JOB FUNCTIONS

- Coordinate and schedule calendar, meetings, and activities as required.
- Responsible for guiding, organizing, and controlling project activities of varying size and complexity including coordination of meetings and functions, working with project team members, update project schedules, and maintaining communications.
- Coordinate program and project plans including reviewing the plans regularly to ensure tasks and milestones are being achieved in a timely manner and preparation of project status reports, presentations, and agendas etc.
- Prepare and maintain confidential documents such as student and teacher survey data, send out survey results to executive directors and administrators where appropriate.
- Coordinate Title II federal grant processes, maintaining records, budgets, correspondence with participating schools and processing registration and reimbursement requests.
- Work directly with business office staff to maintain and monitor budgets for assigned areas. Assist with preparation of the annual budget estimates, while controlling department expenditures. Maintain efficient and effective allocation of resources within the Professional Learning Department.
- Perform administrative duties such as maintaining calendars, completing reimbursement and business forms, setting up conference rooms for meetings, scheduling meetings and conference calls, type correspondence, and organize and prioritize all communications.
- Process payroll for staff, using district authorized systems. Monitor and processes payments, reimbursements, office budget, supplies, etc.
- Build and maintain effective relationships with a wide range of people in addition to the Professional Learning team, including non-public schools, senior administrators, school staff, other project team members, external agencies, and vendors.
- Provide technical support for the professional development tracking software.
- Assist in the planning and implementation of professional learning for support staff.
- Monitor State Professional Development (PD) requirements.
- Coordinate State Continuing Education Clock Hours (SCECH), submit applications to Michigan Department of Education (MDE), and maintain accurate SCECH program files.
- Take an active part in the project challenges, by contributing to the identification and prioritization of existing and potential issues and risks and helping to develop strategies and controls to mitigate these.
- Other duties as assigned.
QUALIFICATIONS
Education and Experience:
- Bachelor’s Degree
- Experience with project management

- Demonstrated ability to be a self-starter who can quickly and correctly prioritize assignments to meet the needs of multiple priorities and to stay on top of the details.

- High level of interpersonal skills to handle sensitive and confidential situations and documentation.
- Demonstrated ability to problem solve (listen, identify problems, and collaboratively problem solve).
- Demonstrated ability to make good decisions that are consistent and fair within contractual guidelines and board policies.

- Provide excellent customer service.

PHYSICAL DEMANDS: Stands and/or walks during most of the working day. Turns, stoops, climbs, bends, pushes, pulls, reaches for and carries materials and equipment in the performance of tasks. Must be able to lift a minimum of 40 pounds. Must be able to work outside for extended periods (up to the entire eight-hour shift) in all weather conditions. Specific vision abilities required by this job include close vision, distance vision and ability to adjust focus.
WORK ENVIRONMENT: The noise level in the work environment is usually loud to moderate.
